Print the PDF and use it as many times as you want. It works well for job sites, clients without email, or quick handwritten invoices.
A useful freelance invoice does more than show a total. It gives the client's accounts-payable contact enough detail to match the bill to the project, confirms the period or deliverable being billed, explains the sales-tax treatment, and makes the next payment step obvious. This Canadian template works for hourly assignments, fixed-price projects, retainers, reimbursable costs, and one-time freelance work.
Use the example as a checklist, then create the actual PDF in invoice generator. Just Invoice is built in Canada and supports Canadian tax labels, Interac e-Transfer instructions, English or French documents, and optional card payments without turning the billing workflow into full accounting software.
Fields a Canadian freelance invoice should contain
Start with your legal or operating name and reliable contact information. Add the client's legal name, billing address, and accounts-payable email. Then include a unique invoice number, invoice date, explicit due date, contract or purchase-order reference when one exists, the service period, itemized work, taxes, total, currency, and payment instructions.
Registered suppliers should use the tax account number and documentary fields that apply to the invoice value. The CRA's current input-tax-credit table separates documents under $100, from $100 to $499.99, and $500 or more. Review the CRA documentary requirements instead of relying on older $30 and $150 thresholds still repeated online.
- Name the engagement, deliverable, or service period instead of writing only 'freelance services.'
- State CAD, USD, or another currency beside the total whenever the client could reasonably be unsure.
- Show the due date as a calendar date even when the contract also says Net 15 or Net 30.
- Add your GST/HST account number only when you are registered and charging the applicable tax.
- Keep the invoice, approval, contract, and proof of payment together in your records.
Worked freelance invoice example
Suppose a Toronto content strategist bills an Ontario client for a monthly project. The invoice can identify the statement of work and separate the fixed project fee from approved additions. The descriptions should let the client approve the bill without reopening every project email.
| Description | Quantity | Rate | Amount |
|---|---|---|---|
| Content strategy and editorial plan, August 2026 | 1 project | $2,400.00 | $2,400.00 |
| Approved landing-page revisions, Aug. 18 | 4 hours | $125.00 | $500.00 |
| Subtotal | $2,900.00 | ||
| HST 13% | $377.00 | ||
| Total due (CAD) | $3,277.00 |
Choose the billing structure that matches the agreement
Hourly work should show hours, rate, and a useful task or period summary. Fixed-price work should name the milestone or deliverable that triggered billing. Retainer invoices should identify the month, included scope, and treatment of work outside the allowance. Do not convert one model into another on the invoice after the work is complete; the bill should reflect the signed agreement.
For a detailed hourly layout, use Hourly Invoice Template Canada 2026 | Free Example. For a fixed deliverable, use Project Invoice Template Canada 2026 | Milestones. Ongoing clients can use Retainer Invoice Template Canada | Recurring Billing. Those focused pages prevent this general template from becoming a vague answer to every billing model.
GST, HST, QST, and small-supplier status
Freelance status does not determine whether tax applies. Registration status, the nature of the supply, and place-of-supply rules matter. Most businesses must register after they stop qualifying as small suppliers, while eligible businesses can register voluntarily. The common threshold is based on worldwide taxable supplies, including zero-rated supplies, and can be crossed in one quarter or across four consecutive calendar quarters.
Do not add tax merely to make an invoice look official. If you are not registered and not required to register, issue a normal invoice without a GST/HST collection line. If you are registered, verify the client's province and the supply before applying a rate. Payment terms that reduce follow-up
Put the agreed due date, payment method, and reference instructions on the document. For Interac e-Transfer, identify the destination approved by your business and ask the client to include the invoice number in the message. For a card option, use the secure payment link generated by the payment provider rather than putting sensitive card data on the PDF.
If the client has a vendor portal or needs a purchase order, complete that setup before sending the first invoice. A correct invoice sent to the wrong inbox can remain unpaid even when the client is satisfied with the work. How to Email an Invoice Professionally includes subject lines and delivery checks, while invoice payment terms canada covers due-on-receipt and net terms.

Can I invoice a client without incorporating?
R: Yes. A sole proprietor can invoice under a legal name or registered operating name. Incorporation is not required merely to issue an invoice.
Should a freelancer put a SIN on an invoice?
R: No. Use business contact details and the applicable GST/HST or QST account number when required, not a personal SIN.
Can one invoice mix hourly and fixed-price work?
R: Yes when the agreement authorizes both. Put them on separate lines so the client can verify the fixed deliverable and the additional hours independently.
Where can I create the PDF?
R: Open invoice generator, enter the real business and client details, review taxes, and download the finished invoice without copying the sample identities or numbers.
