Writing invoices need to connect the commercial unit to an accepted deliverable. Article count, final word band, hourly research, interview fees, revisions, usage rights, and kill fees can all be legitimate, but only when the agreement defines them.

A useful freelance writer invoice should let an editor, agency, publication, or direct business client verify the agreement, the work delivered, the calculation, and the payment route without asking for a second explanation. It is a billing record, not a portfolio, time tracker, or accounting system.

Fields this invoice needs

  • Your legal or operating business name, Canadian address, contact details, and applicable tax registration numbers.
  • The client's legal name, billing contact, address, and purchase-order or project reference when required.
  • A unique invoice number, invoice date, service or delivery period, and unambiguous payment due date.
  • The publication, campaign, assignment title, purchase order, and editor or approver.
  • The pricing unit: article, deliverable, word band, hour, milestone, or retainer period.
  • Included revision rounds, approved extras, licensing or usage terms, and delivery date where relevant.
  • A subtotal, each applicable tax line, total, prior payments or credits, and amount due.
  • Specific payment instructions, currency, and the invoice reference the client should include.

Choose a pricing structure the client can audit

Use the same pricing unit that appeared in the accepted estimate or contract. Converting a fixed fee into unexplained hours, or adding a new minimum charge after delivery, creates avoidable disputes. Put out-of-scope work on a separately approved line.

Invoice line-item example

Replace the example with the real scope and agreed price. Keep descriptions concrete enough for approval but do not include confidential working notes or unnecessary personal information. If a deposit was paid, show it as a credit against the total rather than deleting it from the history.

From agreement to paid invoice

  • Confirm assignment, word or scope band, sources, revisions, rights, deadline, and acceptance process.
  • Keep written approval for interviews, rush work, extra revisions, or scope changes.
  • Invoice at commission, draft, acceptance, publication, or monthly close as the contract states.
  • Create the invoice as soon as the agreed billing event occurs, then open the PDF and check every amount.
  • Send it to the billing contact with the invoice number, amount, and due date in the email.
  • Record payment against the same invoice and retain the agreement, delivery evidence, invoice, and receipt together.

Prevent the most common dispute

The frequent dispute is not the writing quality but what the fee included. Define whether research, interviews, fact-checking, source links, SEO fields, revisions, and usage are included. If publication timing controls payment, state that explicitly before accepting the assignment.

If an amount changes after delivery, preserve the original and use a traceable correction. Do not silently replace a PDF in the client's inbox. Canadian tax and payment notes

Writing can involve a service, a licence or assignment of rights, or both. That classification and the client's location can affect sales tax and cross-border treatment. For foreign publishers, review the facts rather than automatically putting 0% on the invoice.

When registered, show the required GST/HST account and tax information. Determine the rate from the actual supply and place-of-supply rules, not only your own province.
