Credit notes and invoice corrections in Canada

Correct Canadian invoice prices, tax, returns, and cancellations with a traceable credit note or replacement-invoice workflow.

An invoice should not disappear because its price, tax, client name, or scope was wrong. Preserve the original record, document what changed, and give both parties a clean audit trail. A corrected invoice can replace an unissued draft; a credit or debit note is usually the clearer tool once a numbered invoice has been delivered and a charged amount or tax is adjusted.

The commercial correction and the GST/HST adjustment are related but not identical. This guide explains the document workflow. Confirm the accounting entry and any QST treatment for your facts.

Federal GST/HST rule

Section 232 of the Excise Tax Act permits certain excess tax or reduced consideration to be adjusted, refunded, or credited within specified time limits. When the supplier makes the adjustment, it generally requires a credit note containing prescribed information unless the customer issues the corresponding debit note.

The Credit Note and Debit Note Information Regulations require identifying details, the date, the amount of the adjustment or enough information to calculate it, and the related tax adjustment. The document should connect unmistakably to the original invoice.

What to put on a credit note

  • A unique credit-note number and issue date.
  • Your business name and GST/HST registration number when relevant.
  • The customer's name or trading name.
  • The original invoice number and original invoice date.
  • The reason: return, cancellation, pricing correction, scope reduction, or tax adjustment.
  • Negative or credited subtotal, each affected tax amount, and total credit.
  • The remaining invoice balance or refund method when helpful.

Worked correction example

The credit note does not rewrite invoice INV-1042; it references it and records the $226 reduction. If the customer already paid, record whether the credit is refunded or applied to a later invoice. Send both the document and a short explanation.

Correction workflow

  • Lock the delivered invoice from silent edits.
  • Confirm the agreed correction and effective date.
  • Recalculate subtotal and taxes using the original transaction facts.
  • Issue a numbered credit, debit, or corrected document.
  • Update the receivable without erasing the original entry.

Can I delete an invoice with a mistake?

R: Delete an unissued draft if your process allows it. Once delivered or recorded, preserve it and create a traceable correction instead.

Is a credit note a negative invoice?

R: It can look similar, but it is an adjustment document that explicitly references the original transaction and affected tax.

Should the original invoice number be reused?

R: No. Keep the original number and assign a distinct revision or credit-note number so both records remain identifiable.

Does the same rule handle QST?

R: Quebec businesses must also apply Revenu Québec's QST requirements. Do not assume a federal GST/HST adjustment alone completes the provincial treatment.
