Tutoring invoices become confusing when several sessions, siblings, prepaid packages, cancellations, and agency references share one total. List the session dates and billing unit while limiting student information to what the payer actually needs.
A useful tutor invoice should let a learner, parent, school, or agency verify the agreement, the work delivered, the calculation, and the payment route without asking for a second explanation. It is a billing record, not a portfolio, time tracker, or accounting system.
Fields this invoice needs
- Your legal or operating business name, Canadian address, contact details, and applicable tax registration numbers.
- The client's legal name, billing contact, address, and purchase-order or project reference when required.
- A unique invoice number, invoice date, service or delivery period, and unambiguous payment due date.
- The payer and a minimal student or program reference, avoiding sensitive academic or health details.
- Each session date, duration, subject or service category, and delivery mode when it affects the rate.
- Package credits used, cancellation charges authorized by the agreement, and remaining prepaid sessions when relevant.
- A subtotal, each applicable tax line, total, prior payments or credits, and amount due.
- Specific payment instructions, currency, and the invoice reference the client should include.
Choose a pricing structure the client can audit
Use the same pricing unit that appeared in the accepted estimate or contract. Converting a fixed fee into unexplained hours, or adding a new minimum charge after delivery, creates avoidable disputes. Put out-of-scope work on a separately approved line.

Invoice line-item example
Replace the example with the real scope and agreed price. Keep descriptions concrete enough for approval but do not include confidential working notes or unnecessary personal information. If a deposit was paid, show it as a credit against the total rather than deleting it from the history.

From agreement to paid invoice
- Agree on rate, session length, package expiry, and cancellation terms with the payer.
- Record attendance and duration immediately after each session.
- Invoice on the agreed weekly, monthly, per-session, or package schedule.
- Create the invoice as soon as the agreed billing event occurs, then open the PDF and check every amount.
- Send it to the billing contact with the invoice number, amount, and due date in the email.
- Record payment against the same invoice and retain the agreement, delivery evidence, invoice, and receipt together.
Prevent the most common dispute
The common dispute is whether a missed or shortened session is billable. Put the cancellation window and late-arrival rule in the service agreement, then describe the exact session on the invoice. Do not create a penalty after the cancellation occurs.
If an amount changes after delivery, preserve the original and use a traceable correction. Do not silently replace a PDF in the client's inbox. Canadian tax and payment notes
Canadian sales-tax treatment for tutoring and educational services can differ with the provider, recipient, subject, and program. Do not assume every tutoring service is taxable or exempt. Verify the actual supply with the CRA or an adviser before adding or omitting tax.
When registered, show the required GST/HST account and tax information. Determine the rate from the actual supply and place-of-supply rules, not only your own province.
