A retainer invoice should make a recurring relationship predictable without pretending every month is identical. The client needs to see the billing period, the capacity or deliverables reserved, when the fee is due, and how work beyond the monthly scope will be approved and billed.

Recurring describes the schedule; retainer describes the commercial arrangement. A recurring invoice can bill rent, maintenance, or a subscription, while a retainer usually reserves professional capacity. This guide focuses on Canadian freelancers and consultants billing an ongoing client without adding bookkeeping or tax-filing features to the invoicing workflow.

What the monthly invoice should say

Do not paste the entire statement of work onto every invoice. Use a concise scope summary and reference the governing agreement. If the scope changes, document the amendment before changing the recurring amount.

  • Client, engagement, and contract reference.
  • Exact month or service period being billed.
  • Retainer scope, included hours, deliverables, or access level.
  • Treatment of unused capacity and work above the allowance.
  • Prepaid or arrears billing, stated consistently with the contract.
  • Applicable taxes, total, currency, due date, and payment instructions.

Monthly retainer example

The base retainer and approved overage are separate. The invoice identifies the upcoming month for the prepaid capacity and the previous month for the extra work. That distinction prevents the client from thinking the same hours were billed twice.

Invoice in advance or in arrears

Bill in advance when the fee reserves availability for the coming period and the contract says payment is required before that capacity is held. Bill in arrears when the fee reflects services already delivered. Either can work; ambiguity cannot. Put the period and timing on both the agreement and invoice.

Included hours, rollover, and overages

State whether the client buys completed hours, reserved capacity, named deliverables, or access to advice. If unused hours expire, roll over, or have a cap, the contract should say so. The invoice can summarize the rule but should not introduce it for the first time.

Recurring invoice controls

A recurring schedule saves time only when someone still reviews the document. Before each issue date, confirm the client, current fee, billing period, tax rate, purchase order, and destination email. Pause or amend the schedule when the engagement changes; do not let an old amount continue because automation was forgotten.

Canadian tax and payment details

Is a retainer the same as a recurring invoice?
