Marketing invoices should distinguish the consultant's fee from media spend and third-party production. Name the campaign, billing period, deliverables, included hours, and overage so performance conversations do not become billing ambiguities.
A useful marketing consultant invoice should let a founder, marketing lead, agency, or accounts-payable team verify the agreement, the work delivered, the calculation, and the payment route without asking for a second explanation. It is a billing record, not a portfolio, time tracker, or accounting system.
Fields this invoice needs
- Your legal or operating business name, Canadian address, contact details, and applicable tax registration numbers.
- The client's legal name, billing contact, address, and purchase-order or project reference when required.
- A unique invoice number, invoice date, service or delivery period, and unambiguous payment due date.
- The brand, campaign, channel, retainer month, statement of work, and PO or cost centre.
- Deliverables completed, included capacity used, approved overage, and reporting period.
- Consulting fees separated from ad spend, creators, software, printing, or other approved third-party costs.
- A subtotal, each applicable tax line, total, prior payments or credits, and amount due.
- Specific payment instructions, currency, and the invoice reference the client should include.
Choose a pricing structure the client can audit
Use the same pricing unit that appeared in the accepted estimate or contract. Converting a fixed fee into unexplained hours, or adding a new minimum charge after delivery, creates avoidable disputes. Put out-of-scope work on a separately approved line.

Invoice line-item example
Replace the example with the real scope and agreed price. Keep descriptions concrete enough for approval but do not include confidential working notes or unnecessary personal information. If a deposit was paid, show it as a credit against the total rather than deleting it from the history.

From agreement to paid invoice
- Define channels, deliverables, approvals, included capacity, overage, media responsibility, and reporting cadence.
- Get written approval before spending client money or exceeding the retainer scope.
- At period end, attach a concise delivery summary or link to the accepted report without bloating the invoice.
- Create the invoice as soon as the agreed billing event occurs, then open the PDF and check every amount.
- Send it to the billing contact with the invoice number, amount, and due date in the email.
- Record payment against the same invoice and retain the agreement, delivery evidence, invoice, and receipt together.
Prevent the most common dispute
The recurring dispute is whether ad spend or an external vendor was included in the consulting fee. State who contracts with each vendor, who pays, whether any markup applies, and what evidence accompanies a reimbursable cost. Never bury a large pass-through amount in “marketing services.”
If an amount changes after delivery, preserve the original and use a traceable correction. Do not silently replace a PDF in the client's inbox. Canadian tax and payment notes
Consulting, advertising placements, digital deliverables, and reimbursed costs can require different factual analysis. The client's province can matter for general services, while foreign-client zero-rating has conditions and exclusions. Review the place of supply before selecting a rate.
When registered, show the required GST/HST account and tax information. Determine the rate from the actual supply and place-of-supply rules, not only your own province.
