Video production spans pre-production, shoot days, crew, equipment, travel, post-production, music, captions, revisions, and usage. An invoice should mirror the approved production estimate and show which phase or milestone has become billable.

A useful video producer invoice should let a brand, agency, producer, nonprofit, or event client verify the agreement, the work delivered, the calculation, and the payment route without asking for a second explanation. It is a billing record, not a portfolio, time tracker, or accounting system.

Fields this invoice needs

  • Your legal or operating business name, Canadian address, contact details, and applicable tax registration numbers.
  • The client's legal name, billing contact, address, and purchase-order or project reference when required.
  • A unique invoice number, invoice date, service or delivery period, and unambiguous payment due date.
  • The production title, job number, shoot date and location, campaign, phase, and client PO.
  • Producer or crew labour, equipment packages, location, travel, post-production, music, stock, captions, and delivery separately.
  • Deposit and prior draws, approved overages, cancellation or weather costs, licence scope, and final balance.
  • A subtotal, each applicable tax line, total, prior payments or credits, and amount due.
  • Specific payment instructions, currency, and the invoice reference the client should include.

Choose a pricing structure the client can audit

Use the same pricing unit that appeared in the accepted estimate or contract. Converting a fixed fee into unexplained hours, or adding a new minimum charge after delivery, creates avoidable disputes. Put out-of-scope work on a separately approved line.

Invoice line-item example

Replace the example with the real scope and agreed price. Keep descriptions concrete enough for approval but do not include confidential working notes or unnecessary personal information. If a deposit was paid, show it as a credit against the total rather than deleting it from the history.

From agreement to paid invoice

  • Approve the treatment, schedule, crew, equipment, overtime, travel, revisions, formats, and usage before production.
  • Track purchase orders and written approval for weather changes, extra shoot time, stock, music, or new versions.
  • Invoice the deposit and milestones against the total production budget, showing previous billings.
  • Create the invoice as soon as the agreed billing event occurs, then open the PDF and check every amount.
  • Send it to the billing contact with the invoice number, amount, and due date in the email.
  • Record payment against the same invoice and retain the agreement, delivery evidence, invoice, and receipt together.

Prevent the most common dispute

The largest disputes come from overages and usage assumptions. Define the production-day length, overtime, edit rounds, aspect-ratio versions, caption files, raw footage, music, talent, media, territory, and licence term. Put approved outside costs on visible lines.

If an amount changes after delivery, preserve the original and use a traceable correction. Do not silently replace a PDF in the client's inbox. Canadian tax and payment notes

A production can include location-specific services, goods, licensed rights, travel, and remote post-production. The shoot location does not automatically decide every line, and the supplier's province does not either. Review the actual supplies and client address.

When registered, show the required GST/HST account and tax information. Determine the rate from the actual supply and place-of-supply rules, not only your own province.
