Handyman jobs combine a site visit, several small tasks, variable material costs, and client-approved extras. The invoice must separate labour from materials and identify the property and completed work clearly enough that a homeowner or manager can approve it quickly.

A useful handyman invoice should let a homeowner or property manager verify the agreement, the work delivered, the calculation, and the payment route without asking for a second explanation. It is a billing record, not a portfolio, time tracker, or accounting system.

Fields this invoice needs

  • Your legal or operating business name, Canadian address, contact details, and applicable tax registration numbers.
  • The client's legal name, billing contact, address, and purchase-order or project reference when required.
  • A unique invoice number, invoice date, service or delivery period, and unambiguous payment due date.
  • The service address, work date, technician, and estimate or work-order reference.
  • Separate labour hours, service-call or minimum charge, materials, rentals, disposal, and approved extras.
  • A completion note, warranty wording if offered, deposit credit, and remaining balance.
  • A subtotal, each applicable tax line, total, prior payments or credits, and amount due.
  • Specific payment instructions, currency, and the invoice reference the client should include.

Choose a pricing structure the client can audit

Use the same pricing unit that appeared in the accepted estimate or contract. Converting a fixed fee into unexplained hours, or adding a new minimum charge after delivery, creates avoidable disputes. Put out-of-scope work on a separately approved line.

Invoice line-item example

Replace the example with the real scope and agreed price. Keep descriptions concrete enough for approval but do not include confidential working notes or unnecessary personal information. If a deposit was paid, show it as a credit against the total rather than deleting it from the history.

From agreement to paid invoice

  • Photograph or list the requested tasks before pricing and identify customer-supplied items.
  • Get approval before work beyond the estimate, especially hidden damage or added materials.
  • At completion, record each finished task and any item deferred to another visit.
  • Create the invoice as soon as the agreed billing event occurs, then open the PDF and check every amount.
  • Send it to the billing contact with the invoice number, amount, and due date in the email.
  • Record payment against the same invoice and retain the agreement, delivery evidence, invoice, and receipt together.

Prevent the most common dispute

The common dispute is an unexplained gap between the estimate and final total. Show which tasks were included, which additions the customer approved, and which materials are billed at cost or markup. A single line such as “repairs - $850” hides the information needed to approve the charge.

If an amount changes after delivery, preserve the original and use a traceable correction. Do not silently replace a PDF in the client's inbox. Canadian tax and payment notes

Most repair services and supplied materials are taxable when sold by a registrant, but the applicable GST/HST, PST, or QST depends on the province, place of supply, and nature of the work. Keep material tax and customer tax calculations distinct.

When registered, show the required GST/HST account and tax information. Determine the rate from the actual supply and place-of-supply rules, not only your own province.
