A year-end document checklist for your accountant
Build a year-end handoff with receipts, invoice reports, unpaid balances, and external records. Use a practical checklist before meeting your accountant.

It should not imply that a receipt folder contains every record needed to prepare the books or a tax return. Start with the firm's requested scope and build the document checklist around your actual business.

Bank statements, payroll records, financing documents, prior filings, and other records may need a different channel. Ask the accountant which of those apply rather than uploading unrelated personal information into a receipt description.
Confirm the scope before gathering files
Write the review start and end dates, the business or businesses involved, and the tax registrations the accountant expects. A corporation's fiscal period may differ from the calendar year. The previous-year receipt shortcut is a retrieval convenience, not a rule that decides which year every business must report.
Agree on who handles questions and when you will finish collecting documents. If a period is incomplete, identify the missing months or suppliers. A specific gap is easier to resolve than “I think everything is there.”
Assemble the source-document package
- Review receipt purchase dates and image quality.
- Resolve incomplete uploads and obvious duplicate copies.
- Prepare the relevant annual receipt packages and inspect their indexes.
- Export invoice reports for the agreed date range.
- Keep invoice PDFs available for source checks.
- Identify unpaid invoices and explain recent payment changes.
- List external records that the firm still needs.
Receipt indexes are not expense ledgers. Invoice tax totals are not a calculation of net tax. Keep source exports identifiable so the accountant can distinguish them from any working adjustments made later.
Add a useful handoff note
A short example is: “Purchase receipts dated in 2025 are ready. The August supplier PDF is still requested. The invoice report covers January 1 through December 31; balances reflect current recorded payments. Bank statements follow through our usual secure channel.”
This note answers period, status, exception, and scope in a few sentences. It does not force the owner to use technical accounting labels they do not understand. The accountant can ask targeted questions after reviewing the sources.
Finish with a verification pass
Compare several known purchases with their originals and several report rows with invoice PDFs. Check boundary dates and tax registration groups. If a late document arrives, tell the accountant what changed and provide an identifiable updated package rather than silently replacing a previous export.
If the accountant has authorized access, they can retrieve sources directly. The client still needs to communicate what is missing and make requested customer-document corrections. Private notes remain the firm's review work, not an automatic conversation with the owner.
