Download a purchase year's receipts as a useful ZIP package

Prepare an annual receipt ZIP with originals, monthly folders, and a CSV index. Check completeness, download the package, and hand it off to your accountant.

An annual receipt package should let someone understand what it contains without opening every file blindly. Just Invoice exports ready receipts for the selected purchase year with original files, monthly folders, and a CSV index. The package is a source-document handoff, not an expense calculation or a completed tax return.

Before preparing it, confirm the year the accountant needs. A purchase-year package uses the date entered on each receipt, not the upload timestamp. If the professional review follows a different fiscal period, agree on which annual collections and boundary documents they want.

Prepare the collection before exporting

Browse the year and inspect known purchases, especially December and January boundary cases. Correct mistaken dates in the customer account and finish or resolve incomplete uploads. Ask for supplier copies where the original is unreadable. An export cannot repair missing evidence.

A gallery month or search filter helps browsing, but the annual export still covers the selected whole purchase year. That is useful when you searched for a supplier and then want the complete annual handoff. Do not describe the package as only the search results you happened to be viewing.

Let preparation finish

Start the annual download and follow its progress. Large collections take time because the package includes original file bytes. Keep the workflow open until it completes; use the application's cancellation if you want to stop. Partial archives are not completed receipt packages.

If the underlying receipt collection changes during preparation, prepare a current package instead of relying on an invalidated snapshot. Date corrections, deletions, and new documents can change what belongs in the year. Avoid editing the collection while another person expects an unchanged export.

Inspect the ZIP and index

  • Confirm the archive opens in your usual file tool.
  • Check monthly folders and unique document names.
  • Read the CSV purchase dates and original filenames.
  • Open sample source files from several months.
  • Compare known documents with their entries in the index.

The index helps locate evidence. It does not read amounts from receipt images or classify purchases. Keep any accounting worksheet separate so an adjusted working file is not confused with the source index that accompanied the originals.

Hand off one identifiable version

Name the saved package with the purchase year and export date. Tell the accountant what period it represents and which gaps remain. If you later add a missing receipt, clearly identify the new file or provide a refreshed package with a new version date.

An authorized accountant can also prepare the package directly from the client file. This avoids sending the same attachment repeatedly, but downloaded copies still need responsible local storage. Access revocation does not retract a ZIP already saved on a recipient's computer.

Does the ZIP contain every invoice as well?

The receipt package contains the uploaded receipt collection. Customer sales invoices have their own PDFs and report exports. Use the year-end handoff checklist for both sides.

Can I export a fiscal period that spans calendar years?

Agree on the needed document set with the accountant. Annual packages and month browsing help assemble it; they do not decide the reporting period. See purchase-year organization.
