Export an invoice CSV the accountant can verify

Export an invoice report for your accountant and verify the period, totals, tax fields, and source PDFs. Keep the source CSV separate from working adjustments.

A useful invoice CSV has a clear period, recognizable source invoices, and totals the accountant can check. It should not arrive as an unexplained spreadsheet labelled “taxes.” State the date range and what the report represents before the recipient imports or adjusts it in another tool.

Just Invoice's accountant report uses recorded invoice data and saved integer-cent totals. The CSV is a source export, not a general ledger, bank reconciliation, or completed tax return. Treat any adjustments made in a spreadsheet as separate working papers rather than silently modifying the source export.

Choose and record the date range

Agree on the start and end dates with the accountant. A calendar year may fit one engagement; a fiscal or quarterly review may need different boundaries. The report is based on invoice dates, while current recorded payment amounts relate to those invoices. They are not a cash-period total of payments received within the range.

For example, a December invoice with a January payment can belong in a December invoice-date report while showing the payment currently recorded. Include that basis in the handoff note so the recipient does not interpret the amount as December cash collected.

Verify the export against the application

  • Confirm the selected dates before downloading.
  • Compare the invoice count with the complete-period report.
  • Check subtotal and total values using the authoritative report.
  • Review separate tax fields and registration groups.
  • Open source PDFs for a representative sample.
  • Explain unpaid or unusual invoices in the firm's review process.

Browser pagination does not limit the selected-period export. The visible page is only a portion of the invoices, while the CSV covers the defined period. Do not conclude that missing rows are an error merely because the browsing page stopped after its page limit.

Keep a clean source copy

Save the original CSV unchanged with its period and export date. If you add working columns, corrections, or accounting adjustments, create a separate file. That separation lets someone reproduce the comparison later and identify what came from the app versus professional review.

When opening CSV files in spreadsheet software, check how the tool interprets dates, identifiers, and decimal amounts. A spreadsheet may alter presentation or treat text as a number. Do not assume formatting changes reflect a change in the backend's source data.

Refresh when the underlying invoices change

If an invoice is corrected or a payment is recorded after export, a later report may differ. Tell the accountant what changed and provide a clearly labelled new version when appropriate. An old file is a snapshot, not an automatically updated connection to the customer account.

Can I send only the grand total?

A total without source detail makes review harder. Provide the period, row-level export, and access to relevant PDFs.

Does the CSV include expense taxes from uploaded receipts?
