Let an accountant review the source customer invoice PDFs

Review original customer invoice PDFs through authorized accountant access. Match dates, client names, tax numbers, and report rows before drawing conclusions.

An invoice report helps identify a period and totals, but a source PDF explains the underlying sale. The accountant may need to verify the seller, customer, invoice date, descriptions, tax registration details, and amount. Authorized PDF access makes those checks possible without asking the business owner to resend every invoice individually.

In Just Invoice, the accountant opens client invoice PDFs through their scoped client connection. They do not sign in as the customer and cannot use that access to change the invoice. Document reading and document editing remain separate responsibilities.

Start from a recognizable report row

Choose the agreed report period, identify the invoice number, and open its PDF. Compare the customer name, date, and total. Check that the tax details correspond to the report group you are reviewing rather than assuming every invoice uses the same registration or rate.

For example, a service business may have an ordinary paid invoice and a partially paid invoice in the same period. Both source PDFs explain the billed sale; their current balances may differ. The PDF alone should not be treated as a complete dated history of every payment.

Inspect the evidence, not just the design

  • Confirm the business issuing the invoice.
  • Read the customer and work description.
  • Check the date and document number.
  • Review separate tax lines and registration details.
  • Compare subtotal, total, and current recorded payment information.
  • Identify anything that requires the owner's explanation.

A well-formatted PDF can still contain incorrect business details. If the accountant finds a problem, they should communicate the specific correction request. The customer's edit workflow remains the place for changes, with the backend maintaining authoritative values.

Understand report scope and omitted drafts

The accountant invoice-tax report includes saved invoices in the supported review statuses and excludes drafts and estimates. The source list is evidence within that defined scope, not an assurance that every sale made by the business is represented. Sales handled in other systems need their own sources.

Invoice browsing is paginated, while selected-period totals and CSV exports cover the complete period. Do not count only the currently visible rows when checking totals. Use the CSV handoff guide for the export check.

Download responsibly and preserve context

Save a source PDF when the firm's working process requires it, using a filename or local reference that preserves the client and invoice identity. Keep downloaded copies in the firm's appropriate storage. Revoking portal access does not retrieve files already saved locally.

If the client changes the invoice later, identify which source version the review used. Do not silently mix a current PDF with an old spreadsheet export. Record the review date and refresh sources when the underlying file has changed.

Can the accountant fix an invoice directly?

Scoped client access does not edit it. Ask the owner to make the authorized correction and review the updated source.

Is an invoice PDF a bank receipt?
