Catch up on a receipt backlog before tax season

Tackle a receipt backlog in manageable passes. Recover source files, correct purchase dates, and identify unresolved gaps before the accountant reviews them.

A backlog feels larger when every document is treated as a separate urgent problem. Turn it into a few controlled passes: identify the period, recover sources, upload with accurate dates, and resolve the gaps. The goal is a truthful document collection the accountant can use, not a rushed claim that everything is complete.

Begin by asking the accountant which business and period they need. Do not spend the first evening perfectly naming documents from the wrong year. If the deadline is close, disclose the backlog and agree on priorities instead of assuming the portal will do the accounting work automatically.

Inventory the sources you already have

List the places receipts may be found: paper folders, supplier email attachments, online billing accounts, phone photos, and saved downloads. Note recurring vendors separately because one missing subscription invoice may represent a pattern across several months.

Sort the work into available, unreadable, and missing. A usable supplier PDF can go straight into the upload queue. A faded till receipt needs a replacement request. A bank transaction with no purchase source is a gap to investigate, not a receipt that can be fabricated from the statement.

Work in manageable date groups

Choose a month or a small supplier group and complete it before changing sources. For each document, set the purchase date from the evidence and add context while you recognize the purchase. Today's default should not be accepted for an entire box of last year's receipts.

Check successful upload confirmation and open sample files. Keep the paper or source download available until you have verified readability. Native uploads require a connection and an open screen; an interrupted form should not be counted as a completed file.

The gap list can live in your normal communication or working process. Do not suggest that private accountant notes are a customer messaging inbox. Agree on how the firm will send questions and how you will report resolutions.

Verify before sending the annual package

Compare known purchases with the library and inspect year boundaries. Browse the chosen year, prepare the annual ZIP, and read the index. Tell the accountant which gaps remain and what you have already requested. A partially complete but accurately described file is more useful than a polished package with hidden omissions.

After the urgent handoff, establish a monthly receipt routine. The best backlog strategy is one that makes the next year easier rather than repeating the same emergency.

Should I enter guessed dates to finish faster?

Do not guess silently. Seek the source or explain the uncertainty so the accountant can evaluate it.
