Digitize a paper receipt collection without losing its meaning

This guide describes an operational workflow, not permission to discard paper originals. Before destroying paper, review the applicable recordkeeping rules with your professional adviser. The CRA's guidance on imaging and electronic backups addresses requirements beyond simply taking a photograph.
Sort before you capture
Start with broad purchase periods and remove obvious non-business material from the working pile without making tax decisions. Separate multi-page supplier documents from small till receipts. Identify duplicates, payment confirmations, and records whose date cannot be read. Keep uncertainties visible instead of forcing every item into a guessed month.
For example, a folder might contain a supplier invoice, a card terminal slip, and a second copy of the same invoice. They may support one purchase, not three expenses. Capture the relevant source and tell the accountant how related documents fit together.
Choose a consistent capture method
Use a readable phone photograph for an ordinary receipt or obtain the supplier PDF where available. Keep the whole source, including dates, totals, and pages that matter. Avoid “improving” a document by cropping out information the accountant may need.
Upload manageable batches. Set each actual purchase date and add context while you still recognize the paper. If you cannot determine a date, stop and investigate rather than accepting today's default for an entire old folder. The purchase-date field controls receipt-year retrieval.
Check each batch before moving on
- Compare the number of intended source documents with successful uploads.
- Open samples from the beginning and end of the batch.
- Read fine print in the downloaded originals.
- Confirm old purchases appear under their actual year.
- Record missing pages and unresolved supplier copies.
Keep the working paper pile identifiable until those checks are complete. An interrupted upload or unreadable image is easier to repair when the source is still at hand. Just Invoice currently stores supported images and PDFs, with a 10 MiB limit per file; it does not extract expense categories or tax amounts.
Prepare retrieval and independent copies
After the collection is checked, prepare the relevant annual ZIP and inspect its index. That gives you a package of source files and document references, not a completed set of books. Keep any broader accounting records and external documents in the agreed professional workflow.
Plan accessible copies before changing services or ending an engagement. Cloud storage convenience does not remove the owner's recordkeeping responsibility. The retention and export guide helps structure that discussion.
Can I throw away the paper after uploading?
Do not treat upload completion as confirmation that destruction requirements are met. Review official imaging rules and your circumstances first.
What if the receipt has faded?
