Service Invoice Template for Canadian Businesses

Canadian service invoice template for hourly work, fixed fees, retainers, reimbursable expenses, taxes, and clear payment terms.

A service invoice translates time, expertise, or a promised result into a document the client can approve. Unlike a product invoice, it often needs a service period, project reference, hours, deliverables, retainer credit, reimbursable expenses, or milestone language.

This template fits consultants, designers, bookkeepers, coaches, technicians, agencies, and other Canadian service providers. The goal is not to list every task you performed. It is to show enough detail to connect the invoice to the agreement and make the balance easy to verify.

Choose the right billing unit

Hourly work

Use the same unit that appears in the proposal or contract. Switching from a fixed fee to unexplained hours on the invoice creates unnecessary friction.

Service invoice fields

  • Seller and client names and contact information.
  • Invoice number, issue date, due date, and currency.
  • Contract, project, purchase-order, or client-matter reference.
  • Service period or delivery date.
  • Description of each service or milestone.
  • Hours, units, rate, or agreed fee.
  • Approved reimbursable expenses.
  • Retainer, deposit, discount, or credit.
  • Subtotal, applicable taxes, and total due.
  • Payment method and remittance reference.

For a recurring client, include the covered month even when the fee never changes. It prevents two identical invoices from looking like duplicates.

Reimbursable expenses

Separate professional fees from client-approved expenses. A useful line identifies the date, purpose, and treatment:

Do not add an expense markup unless it was agreed. Tax treatment of reimbursements and disbursements can differ, so confirm material cases rather than copying the tax treatment of your service fee.

Canadian sales taxes

Registration status, place of supply, province, and service type determine whether GST, HST, QST, or another tax applies. Many professional services are taxable, but there are exemptions and special rules. Do not assume every service is exempt because no physical product changed hands.

Payment terms for services

State a calendar due date and accepted payment method. New or short engagements may use due on receipt, Net 7, or Net 15. Established business clients may expect Net 30. Larger projects often work better with a deposit and milestone payments than one final invoice.

Example: “Due July 29, 2026 by Interac e-Transfer. Include invoice SV-2407 in the message. Questions about scope must be sent to projects@example.ca; payment confirmation goes to billing@example.ca.”

Do I need to show every hour entry?

R: Show enough detail to support the invoice and follow the reporting level promised in the agreement; a separate time report can hold daily detail.

Can services be billed before delivery?

R: Yes when the agreement calls for an advance, retainer, or milestone invoice.

Should reimbursable expenses be one line?

R: Grouping is acceptable when the client can still verify the period, purpose, receipts, and agreed treatment.
