Bookkeeping invoices are usually recurring, but the work is not always identical. Transaction volume, bank and credit-card accounts, payroll cycles, sales-tax filings, catch-up months, clean-up entries, and document quality can change the effort. A clear invoice names the period and included work without exposing confidential client balances.
This template is for independent bookkeepers and small bookkeeping practices. It separates recurring fees, approved extras, software costs, and retainers so the client can reconcile the bill to the service agreement.

State what the package includes. A client should not have to compare several old emails to understand why an extra line appeared.
Useful invoice references
- Client legal name and internal client number.
- Service month or catch-up period.
- Package tier or engagement reference.
- Transaction-volume band when pricing depends on it.
- Payroll periods or sales-tax period.
- Invoice number, issue date, and due date.
- Applicable GST/HST or Quebec GST/QST.
- Retainer or prepaid-hours credit.
- Secure payment and billing contact.
Do not put bank balances, payroll details, social insurance numbers, or tax-return results on the invoice. Use a secure portal for source documents.
Catch-up and clean-up work

Historical clean-up often has uncertain volume. Use an approved range, milestone, or hourly cap and update the client before exceeding it. Vague “extra bookkeeping” lines create distrust.
Client-caused rework
If the engagement permits charges for missing records, late changes, or duplicated uploads, describe the resulting work neutrally. Do not use the invoice to scold the client.
Example: “Reconciliation revision after replacement March bank statement received July 4 — 1.2 hours.”
The engagement should define what is included and how out-of-scope work is authorized.
Software and third-party fees
Identify whether the software subscription is included, billed at cost, or paid directly by the client. Do not hide a recurring app charge inside professional fees if the agreement treats it separately. Confirm tax treatment of reimbursements and resold services.
Sales taxes
Bookkeeping services are commonly taxable, subject to registration and place-of-supply rules. A Quebec bookkeeper who is registered generally charges GST and QST on taxable fees. Other provinces may use GST or HST. Cross-border clients and reimbursed software can require additional analysis.

Retainers and payment
Monthly bookkeepers may bill in advance, on completion, or through an evergreen retainer. Label the covered period and show credits clearly. Example: “July bookkeeping package payable July 1; additional volume billed after month-end.”
For arrears billing: “Due July 29, 2026 by EFT or Interac e-Transfer. Include client BK-418 and invoice BK-2026-071. Upload records only through the secure portal.”

R: No. State the period, package, volume basis, and approved extras; detailed ledgers belong in secure reports.
Can I bill software separately?
R: Yes when the agreement explains the charge and the tax treatment is correct.
Should monthly invoices all have the same description?
