A rent invoice or statement tells a tenant what is due. A rent receipt confirms what the landlord actually received. They can share the same unit, period, and amount, but they should never imply payment before settlement. Provincial tenancy law controls the lease and receipt obligations, so use a province-specific check alongside the document template.

This page focuses on residential payment records. Commercial rent, short-term accommodation, property-management services, and taxable additional services can have different invoice and tax treatment.

Invoice versus receipt

Do not label a request Paid or Received. When a transfer clears, issue the receipt or update the linked document with the settlement date and method while preserving the original charge.

Fields for a rent invoice

  • Landlord or property manager's legal name and contact information.
  • Tenant name and full rental-unit address.
  • Unique statement or invoice number.
  • Exact rental period, such as September 1-30, 2026.
  • Base rent and any lawful, clearly described separate amount.
  • Amount due, due date, and accepted payment instructions.
  • Lease or account reference without unnecessary personal information.

Fields for the payment receipt

For a partial payment, show the amount received and remaining balance without implying the month is fully paid. Keep corrections traceable and never overwrite the payment date.

Provincial receipt duties

Quebec's Tribunal administratif du logement says a lessee has the right to require a receipt confirming rent payment and highlights written proof because the lessee bears the burden of proving payment. See the TAL payment guidance.

Ontario's standard lease guide explains that a landlord must provide a receipt when a tenant asks for one for rent or another payment or deposit. Requirements can differ elsewhere; consult the current tenancy authority for the rental province.

Record workflow for landlords

  • Generate the monthly charge from the lease, not from a copied prior total without review.
  • Deliver it through the agreed channel and retain proof.
  • Match the payment reference to the tenant, unit, and period.
  • Issue a receipt promptly when required or requested.

Is a rent invoice the same as a rent receipt?

R: No. The invoice or statement records an amount due; the receipt confirms an amount actually received.

Should a receipt identify the rental period?

R: Yes. Include the unit, period, payment date, amount, method, and any remaining balance so the payment cannot be misapplied.

Can a receipt be emailed?

R: A readable digital receipt is practical when the parties use that channel. Preserve a delivered copy and follow any provincial requirement.

Does residential rent include GST/HST?

R: Long-term residential rent is generally treated differently from commercial rent and short-term accommodation. Confirm the actual supply before adding any tax line.
