Print the PDF and use it as many times as you want. It works well for job sites, clients without email, or quick handwritten invoices.
Cash is immediate, but its evidence is weak unless the business creates a receipt at the moment of payment. A cash receipt proves that a specific amount was received from a specific payer for a stated purpose. It should connect to the invoice or sale and to the business's daily income record.
A receipt is not a second sale. If an invoice already recorded the amount due, mark that invoice paid or issue a linked receipt; do not create new revenue by entering both as unrelated transactions.
Fields in a useful cash receipt
- Sequential receipt number and exact payment date.
- Supplier's legal or operating name, address, and contact details.
- Payer's name and business name when known.
- Amount received in numbers and, for larger manual receipts, in words.
- Payment method explicitly marked Cash.
- Invoice number, job address, rental period, or detailed purpose.
- Subtotal and tax breakdown when the receipt is also the sales document.
- Name or signature of the person accepting the money.
Printable example
Give one copy to the payer and preserve one immutable copy. If the payment is partial, show both the amount received and remaining balance. Never sign a blank receipt or backdate the payment.

Tie the receipt to business records
The CRA's business records guidance says income records should include the date, amount, and source, and that income entries should be supported by original documents such as invoices, cash register tapes, receipts, deposit slips, fee statements, and contracts. Record cash even when it has not yet been deposited.
At day end, reconcile numbered receipts to cash on hand and the sales or invoice register. Record any refund with its own document. Deposit slips support the later bank movement but do not replace proof of who paid and why.
Invoice, paid invoice, or receipt
For a service invoice already in the system, a paid copy plus a receipt number may be enough for the customer's purpose. Controls that prevent confusion
- Use sequential numbers and account for voided receipts.
- Restrict who can accept cash and issue duplicates.

- Match each receipt to an invoice, sale, rental period, or customer account.
- Reconcile cash daily and document shortages or overages.

Does a cash receipt replace an invoice?
R: It can document a simple paid sale if it contains the required information, but an existing invoice should remain linked rather than duplicated as new revenue.
Should the receipt show tax?
R: If it is the supporting sales document, include the tax information required for that transaction. If it only acknowledges payment, link it to the detailed invoice.
Can I send a digital cash receipt?
R: Yes. It should be readable, numbered, delivered promptly, and retained with the same controls as a paper receipt.
What if the customer loses it?
R: Provide a copy marked Duplicate from the retained record; do not invent a new payment date or receipt transaction.
