An auto-repair invoice has to explain what vehicle was serviced, what the customer authorized, what diagnostic work was performed, which parts were installed, how labour was calculated, and what warranty or follow-up applies. It should connect the estimate, work order, technician notes, and final payment without exposing internal information the customer does not need.

This template fits independent mechanics, mobile technicians, specialty shops, and small garages. Provincial consumer-protection, environmental, licensing, and repair-authorization rules can add requirements beyond this billing format.

Vehicle and work-order fields

  • Customer name, address, telephone, and email.
  • Vehicle year, make, model, and licence plate.
  • VIN where required or operationally useful.
  • Odometer in and out.
  • Repair-order and estimate numbers.
  • Authorization date, method, and approved limit.
  • Technician or service advisor.
  • Drop-off, completion, invoice, and due dates.

Protect the VIN and customer details in storage and transmit the invoice through the normal verified channel.

Use separate lines for core charges, environmental fees, discounts, and credits. The customer should see why the final total differs from the estimate.

Labour descriptions

State the repair operation, billed hours, and rate when appropriate. Diagnostic time is a professional service and can remain billable even when the customer declines the repair, provided that charge was authorized.

Avoid a single line such as “labour — $600” when multiple operations were performed. Clear lines support warranty decisions and make future service history useful.

Parts and warranties

Identify meaningful parts by description and number, and label new, used, rebuilt, remanufactured, or customer-supplied status when relevant. State the warranty period and whether it covers parts, labour, or both. Do not promise a manufacturer's warranty beyond its terms.

If the customer supplies a part, the invoice can state: “Customer-supplied component; installation labour only; part warranty not provided by shop.” Ensure this matches the agreement and local rules.

Estimate and authorization changes

Reference the original estimate and document any additional authorization. Example: “Additional belt replacement approved by customer by telephone July 14 at 10:42 a.m., revised authorized total $1,050 before tax.”

Do not hide unauthorized work inside shop supplies or labour. Provincial consumer law can govern estimates and the amount by which a final charge may exceed authorization.

Taxes and fees

GST, HST, QST, PST, or other charges can apply differently to parts, labour, supplies, and regulated fees depending on the province. Select tax at the line level and confirm environmental or tire-related charges with the provincial program.

Payment and vehicle release

State accepted methods, balance, and payment status. If shop policy connects vehicle release to cleared payment, disclose that policy before work and comply with applicable law. Do not print full card data on the invoice.

Final quality check

  • Vehicle matches the repair order.
  • Odometer and dates are correct.
  • Authorized and additional work are traceable.
  • Parts and labour reconcile to the estimate.
  • Core, disposal, and shop fees are explicit.
  • Taxes use the correct line treatment.
  • Warranty wording matches the parts and shop policy.
  • Payment and balance are correct.
