A generic invoice template is useful when the work does not fit a trade-specific form. It gives you one adaptable structure for services, products, hourly work, flat fees, expenses, and deposits without filling the page with fields you will never use.

The best generic template is not vague. It uses plain labels, a unique invoice number, a clear description of what was supplied, the applicable Canadian taxes, and payment instructions the client can act on. Use the example below as a neutral starting point, then remove anything that does not apply.

This format works because every amount can be traced to a line, rate, or agreed fee. It also gives the client a number to include with payment.

Fields every reusable template needs

  • Your legal or operating name and contact details.
  • The client's legal name, billing contact, and address.
  • A unique invoice number that fits your numbering system.
  • Invoice and due dates.
  • Specific descriptions of goods, services, dates, or milestones.
  • Quantities, rates, and line totals.
  • Discounts or credits shown separately.
  • Subtotal before tax and each applicable tax.
  • Tax registration numbers when required.
  • Total due, currency, payment method, and reference instructions.

Avoid labels such as “work completed” or “services rendered” with no dates or scope. A generic layout should remain flexible, but each finished invoice should still explain what the client is paying for.

Adapt it for different work

For hourly services, use hours and hourly rate. For products, use units, product names, and unit prices. For project work, describe the accepted milestone. For a deposit, state what the deposit reserves and how it will be credited later. For reimbursable expenses, identify the expense and attach evidence when the agreement requires it.

If your work is mainly client services, Service Invoice Template Canada: Hours, Fees and GST/HST has better examples for retainers and deliverables. For work tied to a site, work order, or purchase order, see Job Invoice Template Canada: Labour, Materials and Taxes.

Canadian tax setup

Do not hard-code one national tax rate into a reusable template. Canada uses GST, HST, QST, PST, and RST depending on the province, registration status, place of supply, and type of item. Save the template layout, but choose taxes for each real invoice.

When you collect GST/HST, your invoice may need the registration number and tax disclosure expected for the invoice amount. Review Tax Invoice Requirements Canada: GST/HST Checklist and confirm unusual supplies with the relevant tax authority.

Make the final PDF look professional

Use one readable typeface, consistent date formats, right-aligned money columns, and enough white space to separate the seller, client, line items, and total. Keep the total visually prominent without making the document decorative. Export to PDF so the layout does not shift when the client opens it.

You can build the invoice in invoice generator and download the PDF without starting from a spreadsheet. Just Invoice uses a focused Canadian workflow rather than a full accounting suite.

Generic does not mean anonymous

Add your business name, logo if available, direct contact information, and a short thank-you. Use the same numbering style and payment wording on every invoice. Consistency helps clients recognize the document and helps you find it later.

Can I use one generic template for every client?

R: Yes, if you update the client, scope, taxes, dates, and payment terms for each transaction.

Is a Word or Excel invoice acceptable?

R: The content matters more than the editing tool, but sending a PDF preserves the layout and reduces accidental changes.

Should the template include every Canadian tax?

R: It should support the taxes you may need, but each invoice should display only the rates that actually apply.
