This format works because every amount can be traced to a line, rate, or agreed fee. It also gives the client a number to include with payment.
Fields every reusable template needs
- Your legal or operating name and contact details.
- The client's legal name, billing contact, and address.
- A unique invoice number that fits your numbering system.
- Invoice and due dates.
- Specific descriptions of goods, services, dates, or milestones.
- Quantities, rates, and line totals.
- Discounts or credits shown separately.
- Subtotal before tax and each applicable tax.
- Tax registration numbers when required.
- Total due, currency, payment method, and reference instructions.
Avoid labels such as “work completed” or “services rendered” with no dates or scope. A generic layout should remain flexible, but each finished invoice should still explain what the client is paying for.
Adapt it for different work
For hourly services, use hours and hourly rate. For products, use units, product names, and unit prices. For project work, describe the accepted milestone. For a deposit, state what the deposit reserves and how it will be credited later. For reimbursable expenses, identify the expense and attach evidence when the agreement requires it.

Canadian tax setup
Do not hard-code one national tax rate into a reusable template. Canada uses GST, HST, QST, PST, and RST depending on the province, registration status, place of supply, and type of item. Save the template layout, but choose taxes for each real invoice.

Make the final PDF look professional
Use one readable typeface, consistent date formats, right-aligned money columns, and enough white space to separate the seller, client, line items, and total.
