Electricians need invoices that clearly separate service calls, rough-in labour, finish work, fixture installs, permit fees, and materials. Homeowners, general contractors, and property managers expect professional documentation, especially when electrical work involves safety and potential warranty/insurance implications.

This template is built for Canadian electricians. It includes realistic line items, tax handling for every province, and the payment features Canadian clients actually use (Interac e-transfer first and foremost).

What Must Be on a Canadian Electrician Invoice

Same Core Canadian Requirements as Other Trades, Plus

  • Clear separation of labour vs materials (important for clients and your records).
  • Any permit or inspection fees passed through (note them separately).
  • Description detailed enough that a client or future electrician can understand what was done (safety/insurance value).
  • Your electrical contractor license number if required by your province (some do, some don't — check local rules; often shown in header or footer).

Tax Considerations for Electrical Work

Electrical services and materials are generally taxable.

  • HST provinces (ON 13%, Atlantic 15% or 14%): one rate on almost everything.
  • Québec: TPS 5% + TVQ 9.975% on residential service and most commercial.
  • BC: GST 5% + PST 7% (PST applies to many electrical goods and some services).
  • Alberta & territories: GST 5% only.
  • New construction or major renovations sometimes have different timing or holdback rules — confirm with the GC or owner.
  • Once registered, you must charge tax and can recover ITCs on your taxable purchases.

Typical Electrician Line Items That Work Well

  • Service call / trouble call / after hours premium
  • Hourly labour (rough-in, finish, fixture install, panel work)
  • Flat rate for common jobs (e.g., "EV charger rough-in & install")
  • Materials: wire, boxes, devices, panels, breakers, fixtures, smoke/CO alarms, generators, etc.
  • Permit & inspection fees (pass-through, sometimes no markup)
  • Equipment rental (lifts, etc.) if applicable
  • Disposal / haul away fees

Pro Tip for Electricians

Save your most common materials and labour rates as "products" in the invoice tool. Next job is often just "select client + add 4-6 saved items + adjust quantities + send". This is where the speed advantage becomes huge compared to Word/Excel or complex accounting software.

Getting Paid Faster

  • Always include prominent e-transfer instructions.
  • For larger jobs with GCs or property managers, offer card + e-transfer + Net 15/30 options.
  • Send invoice the same day the work is complete and inspected (while the value is fresh in the client's mind).
  • For new construction or renos, progress billing (deposit on start, progress draws, final on inspection) dramatically improves cash flow.
  • Consider a small "truck / mobilization" charge on service calls — it sets expectations and is common in the trade.

Frequently Asked Questions

Should I charge tax on permit fees?

A: Usually yes if you're registered — you're supplying the permit service as part of the taxable supply. Some electricians mark it up slightly for admin; others pass it straight through. Either way, show it clearly on the invoice.

Do I need a separate invoice for the rough-in and the finish?

A: Many electricians do one invoice per phase or one final invoice with phases itemized. For cash flow, two invoices (rough + finish) is often better on bigger jobs.

Can I show my electrical license on the invoice?

A: Yes — add it to your business header or footer in the generator/settings. It builds trust and meets some provincial expectations.

How do I handle material returns or credits?

A: Create a new invoice (or credit note if your tool supports) with negative quantities or a "Credit — returned materials" line. Keep it simple and reference the original invoice number.
