Create an invoice like this

What does a Quebec invoice look like?

A good Quebec invoice should be clear for the client and useful for your records. It shows who is billing, who is paying, what was sold, the amount before tax, GST, QST, the total, and payment terms.

The example below is designed for professional services, freelancers, consultants, designers, developers, contractors, and small service businesses.

Rules can vary depending on your situation. If you are registered for taxes, include your GST and QST numbers. If you are not registered, do not charge GST or QST.

Here is a concrete example for a $1,000 before-tax invoice sent by a self-employed worker registered for GST and QST.

What to include on a Quebec invoice

For a professional invoice, include at least the following fields. If your client is also registered for taxes, they may need these details for ITC/ITR claims.

  • Your name or business name
  • Your address, email, and phone number
  • Client name and contact details
  • A unique invoice number
  • Invoice date and due date
  • Description of services or products
  • Quantity, rate, or unit price
  • Subtotal
  • GST and QST shown separately, if applicable
  • Total amount
  • Tax numbers (if registered)
  • Payment terms

How GST and QST are calculated in the example

In Quebec, GST is generally 5% and QST is 9.975%. Under the two-step method, both taxes are calculated on the selling price before tax.

Subtotal: $1,000.00

GST: $1,000.00 x 0.05 = $50.00

QST: $1,000.00 x 0.09975 = $99.75

Total: $1,000.00 + $50.00 + $99.75 = $1,149.75

Some sales can be zero-rated or exempt. If a line item is not taxable, do not automatically apply the same taxes as the other lines.

Example without GST or QST

If you are a small supplier who is not registered for taxes, your invoice can use the same structure, but without GST or QST lines. The total then equals the subtotal.

Consulting service: $500.00

GST: not charged

QST: not charged

Total: $500.00

Avoid listing taxes if you are not registered. Once registered, add your GST and QST numbers and keep copies of your invoices.

Common mistakes to avoid

  • Forgetting the invoice number or reusing the same number twice
  • Charging GST or QST without being registered
  • Showing only a combined rate instead of separating GST and QST
  • Omitting your tax numbers when you charge taxes
  • Leaving out payment terms
  • Sending an invoice without a clear description of the service provided
